Quick answer

The biggest Routine planning mistake is leaving a deliverable without a day. A task that sits in a list with no date gets pushed aside by meetings, and that is how client work slips. Give every deliverable a day on the **Calendar**. The other common mistakes are working from the **Inbox** instead of clearing it, deleting ideas you should postpone, and approving the [AI assistant](https://learn.ynteractive.com/content/glossary/ai-assistant)'s changes without reading them. Each one is covered in the free [Routine weekly planning lesson](https://learn.ynteractive.com/modules/routine-plan-your-week).

The example is made up. Nina Okafor, engagement manager at Calder & Moss Advisory, runs three client projects. Her tasks arrive by email, in Slack and in meeting notes, and last month a workshop agenda slipped because it never made it onto the calendar. The lesson was built from Routine's help center and website, read on 21 October 2026, without signing in, so labels can differ by version.

## What are the most common Routine planning mistakes?

| # | Mistake | Fix |
| --- | --- | --- |
| 1 | Deliverables with no day | Drag each one onto a day on the **Calendar** |
| 2 | Tasks left in email, chat and notebooks | Capture everything in the **Console** |
| 3 | Typing a date the Console can't read | Use plain words such as *Thursday at 3pm* |
| 4 | Working from the Inbox all week | Process it to zero in one sitting |
| 5 | Scheduling a 1-minute task | Do it now and mark it done |
| 6 | Deleting an idea you're unsure about | Postpone it with the clock icon |
| 7 | Approving the assistant's card unread | Check the meeting, the time and the people first |
| 8 | Trusting conflict checks with no calendar connected | Connect your work calendar first |

## Why do deliverables still slip?

**1. No day.** In the lesson, the [redlines](https://learn.ynteractive.com/content/glossary/redline) sit on Tuesday and the status deck on Thursday at 3, but **Draft Lumen Health workshop agenda** has no day. That is the one that slipped last month. Drag it from the task list onto **Wednesday**. Scheduling puts a task on a day without booking a time slot. If you want hours reserved for it, that is [time blocking](https://learn.ynteractive.com/content/glossary/time-blocking), which is on Routine's paid plans.

**2. Scattered capture.** When tasks live in email, chat and notebooks, the important ones slip. Press **Ctrl + Space** (Cmd + Space on a Mac) to open the **Console** and capture each one in a few words. Connect the tools where tasks arrive, such as Gmail or Slack, under **Settings**, **Integrations**, so their items land in the same **Inbox**.

**3. Dates the Console can't read.** Type the task the way you would say it. Routine reads words like **Thursday** and **at 3pm**, so *Send Halvorsen status deck Thursday at 3pm* becomes a task on Thursday at 3:00 PM. A task with no date, like *Review Brightwater [SOW](https://learn.ynteractive.com/content/glossary/statement-of-work) redlines*, waits in the Inbox. That is fine, as long as you process it.

## How should I clear the Routine Inbox?

**4. Working from it.** Routine's help center calls the Inbox a capture buffer, not a planning tool. Rereading the same list all week costs more time than deciding once. Sit down, take items one at a time, and give each one decision until the Inbox is empty: [inbox zero](https://learn.ynteractive.com/content/glossary/inbox-zero).

**5. Scheduling what you could just do.** Routine's help center uses the 2-minute rule. Confirming a kickoff time takes under 2 minutes, so do it and tick its checkbox (or press **Ctrl + E**). For a task with a date, click the **calendar icon** (or **Ctrl + L**) and type *on tuesday*. For something that isn't relevant, like a webinar invite, press **Ctrl + Shift + I** to discard it.

**6. Deleting what you're unsure about.** The new proposal template might matter later. Click the **postpone icon** (the clock) or press **Ctrl + P** and type *next month*. The task is hidden until then, not deleted.

## What mistakes happen with the AI assistant?

**7. Approving without reading.** In the lesson, *Do I have any conflicts on Thursday?* finds that the partner review, 2:30 to 3:30 PM, runs into the deck deadline at 3:00 PM. You ask it to move the meeting to Friday at 10am and notify the participants. It doesn't act yet. Routine's help center says actions through a connected app come back as an approval card you confirm before they run. Read it like a colleague's draft: is it the right meeting, the right time, the right people? Then click the **checkmark**. That is [human in the loop](https://learn.ynteractive.com/content/glossary/human-in-the-loop) for your calendar.

**8. No calendar connected.** The assistant can only spot a clash it can see. Routine connects to Google Calendar, Outlook and iCloud Calendar. Connect your work calendar before you rely on its conflict checks, and check your firm's rules on client data in third-party apps first.

One more thing to know: the free plan includes the assistant with a monthly allowance of AI credits. Check [Routine's pricing page](https://routine.co/pricing) for what each plan covers.

## How do I keep the plan working each day?

Don't try to do the whole list. Each morning, open **Agenda**, pick the 1 to 3 tasks that matter most and postpone the rest. In the lesson, twenty minutes on Monday gives the week a plan.

## Key takeaways

- Every deliverable gets a day on the **Calendar**.
- Capture everything in the **Console**, in plain words.
- Clear the Inbox in one sitting: discard, do now, schedule or postpone.
- Postpone what you're unsure about instead of deleting it.
- Read every approval card, and connect your calendar first.

## Frequently asked questions

**Is the Inbox a to-do list?**

No. Routine's help center calls it a capture buffer. Each item leaves it with one decision.

**Does scheduling a task block time on my calendar?**

No. Scheduling only says which day. Time blocking reserves a slot, and is on paid plans.

**Can the assistant change things without asking?**

Actions through a connected app, like a calendar or Slack, come back as an approval card you confirm first.

**What should I do with the Inbox every week?**

Process it to zero, then plan the week on the Calendar and check it with the assistant.
