Quick answer

The biggest mistake with an n8n [onboarding](https://learn.ynteractive.com/content/glossary/employee-onboarding) tracker agent is pasting more than the tracker needs. New hires put bank details, ID numbers and benefits questions in emails, and it is tempting to paste the whole thread. The [system prompt](https://learn.ynteractive.com/content/glossary/system-prompt) keeps those details out of the sheet, but the safest copy is the one you never paste. The other mistakes are mostly about wiring: [column headers](https://learn.ynteractive.com/content/glossary/header-row) that don't match the prompt, the Sheets node left on reading rows, and no memory. All of them come up in the free [n8n onboarding tracker lesson](https://learn.ynteractive.com/modules/hr-onboarding-tracker-agent).

The example is made up. Fernway Logistics is a made-up distribution company with three made-up new hires starting Monday. The agent turns the week's updates into one row per item in a Google Sheet: the new hire, the item, Done, Waiting or Unclear, the owner and a follow-up.

## What are the most common onboarding tracker mistakes?

| # | Mistake | Fix |
| --- | --- | --- |
| 1 | Pasting bank, ID or medical details | Paste only what the tracker needs |
| 2 | Removing the "never record" rule from the prompt | Keep it, word for word |
| 3 | Column headers that don't match the prompt | **New hire**, **Item**, **Status**, **Owner**, **Follow-up** |
| 4 | Leaving the Sheets node on reading rows | Pick **Append Row** under **Operation** |
| 5 | Picking the wrong spreadsheet | Choose **Onboarding Tracker** in **Document** |
| 6 | Skipping memory | Add **Simple Memory** so "save those" works |
| 7 | A key with no credit behind it | Add credit first, or use **Gateway credits** |
| 8 | Ignoring the new hire with no updates | Chase every **Unclear** row the same day |
| 9 | Sharing the sheet without reading it | Read every row first |

## Which mistakes put personal data at risk?

**1. Pasting bank, ID or medical details.** In the lesson, Tom Becker puts his bank details for direct deposit in the body of an email. The agent does not repeat them. Its row says they came by email and are not logged, and asks him to use your payroll system's form instead. That is the prompt doing its job, but it is a backstop. The lesson's finish screen is plain: paste only what you need, no bank details, ID numbers, dates of birth or medical information. Personal details like these are [PII](https://learn.ynteractive.com/content/glossary/pii), and [data minimization](https://learn.ynteractive.com/content/glossary/data-minimization) means not sending them anywhere they aren't needed.

**2. Removing the "never record" rule.** The last paragraph of the system prompt says never to record bank details, ID numbers, Social Security numbers, dates of birth, or medical or immigration document details, and to write only whether something was received. It also says not to give legal advice about hiring paperwork or benefits. When you adapt the prompt for your company, change the items and owners, not these rules. Follow your company's own rules for new-hire paperwork too.

## Why does the agent write nothing, or the wrong thing, to the sheet?

**3. Column headers that don't match.** The sheet needs five headers in row 1: **New hire** in A1, **Item** in B1, **Status** in C1, **Owner** in D1 and **Follow-up** in E1. They match exactly what the system prompt tells the agent to return. Then, in the Sheets tool under **Values to Send**, click the **✦** button next to each column so the model fills it in. If a header says "Name" while the prompt says "New hire", you are asking the model to guess.

**4. Leaving the node on reading rows.** n8n adds the Sheets tool as **Get row(s) in sheet in Google Sheets**. By default it reads rows. Open the **Operation** dropdown and pick **Append Row**, so every item is added as a new row at the bottom.

**5. Picking the wrong spreadsheet.** The **Document** dropdown lists every spreadsheet the account can see. In the lesson, **Open Roles Pipeline** sits right next to **Onboarding Tracker**. Pick the tracker, then **Sheet1** in the **Sheet** dropdown. The Google sign-in asks for Sheets and Drive access; Drive access is what lets n8n find your spreadsheets by name.

## Why can't I say "save those"?

**6. Skipping memory.** Without memory, every message starts from nothing, so the agent can't tell which items "those" means. Click the **+** under **Memory** and pick **Simple Memory**. The defaults are fine (it keeps the last 5 messages). The [agent memory](https://learn.ynteractive.com/content/glossary/agent-memory) entry explains why this matters.

**7. A key with no credit behind it.** A new OpenAI key on an account with a zero balance just returns errors. On platform.openai.com, open **Billing** and click **Add to credit balance** before you create the key. If you'd rather not spend anything yet, new n8n accounts include free credits: pick **Gateway credits** on the model step instead. And copy the key when you create it; OpenAI shows it only once. Treat it like a password, and never paste it into a chat or a screen recording. See [API key](https://learn.ynteractive.com/content/glossary/api-key) for more.

## Which mistakes spoil the tracker after it runs?

**8. Ignoring the new hire with no updates.** Lena Ortiz has no updates at all. A simple list of what came in would leave her out. The prompt says a new hire with no updates gets **Unclear** and a note on what to check, so her row says to check her offer letter, laptop and buddy with IT and her manager today. That row is the one most likely to save a bad first day. Chase it first.

**9. Sharing the sheet without reading it.** The audience in the prompt is the HR coordinator, who reads every entry and chases what is still open. An agent can misread a vague update. Read each row, fix what's wrong, then share it. That check is [human in the loop](https://learn.ynteractive.com/content/glossary/human-in-the-loop) in its simplest form.

## Key takeaways

- Paste only what the tracker needs. The prompt's privacy rule is a backstop, not a filter.
- Keep the "never record" and "no legal advice" rules when you adapt the prompt.
- Match the five headers to the prompt, then click **✦** on each.
- Use **Append Row**, the right document and **Simple Memory**.
- Chase **Unclear** rows first, and read every row before you share.

## Frequently asked questions

**What should the agent do with bank details it sees?**

Not log them. The row for Tom's direct deposit says **Unclear**, owner Payroll, with a note that the details came by email and are not logged, and asks him to use the payroll system's form.

**Can I add my own onboarding items?**

Yes. Edit the item list in the system prompt, such as Offer letter, Laptop, System access, First-week buddy and New-hire paperwork, to match your checklist. Keep the five columns the same, or change the headers and the prompt together.

**Why did one update become two rows?**

Because the agent writes one row per item. Priya's update covered her laptop and her buddy, so it became two entries with different statuses and owners.

**Do I need to code to fix these?**

No. Every fix is a click in n8n's editor or a line in the prompt. For more help, see the [n8n docs](https://docs.n8n.io/), or the [applicant intake lesson](https://learn.ynteractive.com/content/n8n-job-application-form-webhook-google-sheets) in the same course.
