Quick answer

Executive assistants can use [Gemini](https://learn.ynteractive.com/content/glossary/gemini) in Gmail to get through a crowded inbox faster: a one-click summary of a long thread, a side-panel answer to "what do they still need from us, and by when?", a first draft of the reply from a short description, and quick fixes in plain words. The assistant still decides what gets said and checks every name, date and number. This guide covers six daily uses with a [prompt](https://learn.ynteractive.com/content/glossary/prompt) for each, built on the free [Gemini in Gmail: Summarize a Thread and Draft the Reply](https://learn.ynteractive.com/content/gemini-in-gmail-summarize-and-reply) lesson.

## Why does Gemini in Gmail fit an EA's day?

Because so much of the job is reading long threads someone else started and turning them into a clear next step. Gemini in Gmail works right inside the email you have open, in three places:

- **Summarize this email**, under the subject line, gives an **AI Overview** of the whole thread.
- **Ask Gemini**, the spark icon at the top right, opens a side panel for specific questions about that email.
- **Help me write**, at the bottom of a reply, drafts from a description and then takes changes in plain words.

In the lesson, the inbox belongs to a made-up cleaning company and the thread is six messages about a new schedule and a carpet quote. The routine is the same for an executive's inbox. The lesson's practice copy notes that some of these features need an eligible Google Workspace or Google AI plan, so check what your company has turned on. The [Gemini](https://learn.ynteractive.com/content/glossary/gemini) glossary page explains the product.

## 1. The morning catch-up on long threads

Open each long thread that came in overnight and click **Summarize this email**. Read the AI Overview, then minimize it.

**Use it for:** deciding which threads need your executive today and which you can handle. **Check:** a summary is for orientation. Before you act, open the latest message and read it yourself.

## 2. "What do we owe them?" before every reply

In the **Ask Gemini** side panel:

```text
What does [NAME] still need from [EXEC NAME], and by when?
```

That's the lesson's question. In the lesson, Gemini answers with a deadline (before Friday's budget meeting), the items to include, and a coworker's note about the alarm buried in the thread.

**Check:** that each item is really in the thread. Ask the panel where it got anything that surprises you.

## 3. Pull the facts for a briefing note

```text
List every date, time, price and decision in this thread, with who said each one.
```

Paste the result into your exec's daily briefing, trimmed to what matters. **Check:** numbers against the original messages. This list is also your checklist for any reply.

## 4. Draft a reply in the exec's voice

At the bottom of the reply, click **Describe your message**:

```text
Confirm [DETAIL] for [NAME]: [DATE AND TIME]. Confirm [ITEM] at [PRICE]. Sign off as [EXEC FIRST NAME]. Warm, direct and short.
```

The lesson's tip: the more specific the description, the less you'll fix later. Its prompt names the schedule, the start date, the $340 price and "Keep it friendly and short."

**Check:** that the draft sounds like your executive, and that it doesn't add a promise neither of you made.

## 5. Fix the draft without starting over

When the first draft is close, use **Describe your change**:

```text
Add that [DETAIL], and that [DETAIL]. Keep everything else the same.
```

In the lesson, one sentence adds the missing walkthrough date and the alarm time. For tone, use **Polish** (the magic wand), or **Formalize**, **Friendly** or **Shorten** under the three dots. **Undo** and **Redo** step between versions.

**Check:** reread after every tone change. Smoother wording can drop a detail. The [iterative prompting](https://learn.ynteractive.com/content/glossary/iterative-prompting) glossary page explains why small changes work better than rewrites.

## 6. The decline, the reschedule and the nudge

Three emails EAs write every week, as Help me write descriptions:

```text
Decline [EVENT] on [DATE] for [EXEC NAME] with thanks. Suggest [ALTERNATIVE]. Two sentences.
```

```text
Ask to move [MEETING] from [OLD TIME] to [NEW OPTIONS]. Apologize once, briefly.
```

```text
Gently remind [NAME] that we need [ITEM] by [DATE] for [REASON]. Friendly, one short paragraph.
```

**Check:** dates and times against the calendar before you send. The draft only knows what you told it.

## What should an EA never hand to Gemini?

The decisions. Whether to accept, what to promise, what to share and what to leave out stay with you and your executive. Leave private details out of prompts when the reply doesn't need them, and follow your company's rules for AI and email. The lesson's last step is the rule for every email: check names, dates and prices against the thread, because it's your executive's name at the bottom.

## Where should an executive assistant start?

Take the 7-minute lesson. It's a practice copy of Gmail, so no Google account is needed and nothing is sent, and you'll do the full loop once: summarize, ask, draft, change, polish and send. It's part of the free [AI for Customer Support](https://learn.ynteractive.com/courses/ai-for-customer-support) course.
