Quick answer

To translate a client document in [DeepL](https://learn.ynteractive.com/content/glossary/deepl) and keep its formatting, open **Translate files** instead of pasting the text, select the file, pick the target language, set the tone (**Formal** for a policy), click **Translate into** your language and **Download** the copy. Then use **DeepL Write** to tidy the cover email in English. The free [DeepL client document lesson](https://learn.ynteractive.com/content/deepl-translate-document-keep-formatting) walks through every click in about 5 minutes.

The example in the lesson is made up. Marisol is an HR consultant at Brookfield People Partners, and her client Harbor & Pine Foods needs its new remote work policy in Spanish for its staff. DeepL (deepl.com) is a separate, third-party AI translator. The lesson is a practice copy built from DeepL's public help center in October 2026 and was not tested in the real app, so a label or two may look different. It is our own lesson, not an official DeepL course.

## Why translate the file instead of pasting the text?

Because the slow part is rarely the words. It is rebuilding the document afterwards: the headings, the table, the fonts. If you paste text into a translator, you get text back and have to rebuild the layout by hand. DeepL's help center says its file translation keeps the original formatting, images and fonts.

The lesson prices the difference with example numbers. About six documents a month at 90 minutes each, copying, translating and rebuilding, is 9 hours a month. Translating the whole file turns the job into a check: about 20 minutes a document, including a fluent colleague reading it, or about 2 hours a month. Use your own numbers.

## What are the steps in the lesson?

1. In the DeepL translator, click **Translate files**.
2. Click the upload area and select the file (*Harbor-Pine-Remote-Work-Policy.docx* in the lesson). You can also drag a file into the window.
3. Click the target language box and choose **Spanish**.
4. Set the tone to **Formal**.
5. Click **Translate into Spanish**.
6. Check the preview, then click **Download**.
7. Click **DeepL Write**, paste your rough English cover email, and turn on **Show changes**.
8. Click the **copy** icon and paste the improved email, with the Spanish file attached.

## Why set a formal tone?

A policy from an employer should read formally. Spanish, like many languages, has formal and informal ways of addressing people, and DeepL lets you choose. The lesson sets **Formal** for the policy. DeepL's help center says you can also pick a glossary or a language model when you translate a file; the lesson leaves the glossary at **None**.

## Try it free, step by step

**DeepL: Translate a Client Document and Keep Its Formatting**. Translate a client's Word policy into Spanish with DeepL file translation, keep its headings and table, set a formal tone, then polish the English cover email with DeepL Write. You do every step yourself in a practice copy of DeepL, it checks your work as you go, and “Do it for me” finishes any step you get stuck on. Free, and nothing touches your real accounts.

## Does the translated file look exactly like the original?

Close, but check it. In the lesson the Spanish copy keeps the same title and table: "Remote Work Policy" becomes "Política de trabajo remoto", and each row of the table comes through in Spanish. DeepL's help center adds the caution: differences in word length between languages can shift the layout. Spanish usually runs a little longer than English, so a line can wrap or a table cell can grow. Open the downloaded file and look before you send it.

Then have a fluent speaker read anything staff will rely on, especially policies and contracts. AI translation is a strong draft, not a final legal text. That second reader is [human in the loop](https://learn.ynteractive.com/content/glossary/human-in-the-loop) in its simplest form.

## Key takeaways

- Use **Translate files**, not pasted text, so headings and tables survive.
- Choose the target language, then set **Formal** for a policy.
- Check the layout after **Download**, since translated text often runs longer.
- Have a fluent speaker read policies and contracts before staff see them.
- Use **DeepL Write** with **Show changes** for the English cover email.

## Frequently asked questions

**Is DeepL part of Stepthrough?**

No. DeepL is a separate product from deepl.com, with its own account and plans. The practice lesson needs no DeepL account, and no file is uploaded.

**Is DeepL free?**

DeepL lists a free version and paid plans. The file limits differ by plan, so check [DeepL's plans page](https://www.deepl.com/en/pro) before you rely on it for regular work.

**What is the difference between DeepL Translator and DeepL Write?**

The Translator moves text or a file into another language. **DeepL Write** improves text in the same language and shows you each change. In the lesson, the policy goes through the Translator and the English cover email goes through Write.

**What does DeepL Write do to my email?**

You put your text in the left-hand box, and DeepL detects the language. An improved version appears on the right. In the lesson, a run-on email becomes: "Hi Tom, I've attached the Spanish version of the remote work policy, as we discussed. Could someone on your team who speaks Spanish read it before we send it to staff? Thanks." Same meaning, clearer request.

**Why turn on Show changes?**

So you see exactly what changed and agree with every edit. DeepL's help center says you can also pick alternatives for words or whole sentences.

**Can I translate into more than one language at once?**

DeepL's help center says you can select one or more target languages when you translate a file. The lesson uses one, Spanish.

**Is it safe to upload a client's policy?**

Check your firm's and your client's rules before you upload confidential documents to any online tool. The [AI data classification lesson](https://learn.ynteractive.com/content/what-not-to-put-into-ai-data-classification) helps you sort what can go where.

**Does a translated policy need a human check?**

Yes, for anything staff or clients rely on. The lesson's cover email asks the client for exactly that: someone on their team who speaks Spanish reads it before it goes to staff.

**Where are DeepL's own instructions?**

In its help articles [Translate files with DeepL file translation](https://support.deepl.com/hc/en-us/articles/360020569480-Translate-files-with-DeepL-file-translation), [About file translation](https://support.deepl.com/hc/en-us/articles/360020582499-About-file-translation) and [Use DeepL Write](https://support.deepl.com/hc/en-us/articles/11673757647388-Use-DeepL-Write).

**What goes wrong most often?**

Pasting text instead of translating the file, and sending a policy nobody fluent has read. See [DeepL document translation mistakes](https://learn.ynteractive.com/content/blog/deepl-translate-document-mistakes), and the [DeepL glossary entry](https://learn.ynteractive.com/content/glossary/deepl) for the tool in a paragraph.
