Quick answer

The biggest mistake when you use ChatGPT as an assistant for a bookkeeping firm is leaving your rules out of the project and hoping to remember them in each chat. On a busy day you will forget to say "no tax advice by email", and the draft will happily answer the tax question. Put the rules in **Project settings** once and every chat in the project starts with them. The other mistakes are close behind: rules with no "do this instead", one long chat for every client, and sending a draft without checking the dates and amounts. The free [ChatGPT bookkeeping assistant lesson](https://learn.ynteractive.com/modules/chatgpt-ai-assistant-bookkeepers) shows the right way in about 9 minutes.

The example is made up. Dana Reyes runs Clearview Bookkeeping, a 4-person firm, and the clients and numbers are made up too. The screens are real ChatGPT (Plus plan), captured on 20 October 2026, and the answers are ChatGPT's real output from that run. This is not tax advice.

## What are the most common mistakes?

Seven mistakes cover almost everything that goes wrong:

| # | Mistake | Fix |
| --- | --- | --- |
| 1 | Typing the rules in each chat | Paste them once into **Instructions** in **Project settings** |
| 2 | Rules that only say "never" | Add what to do instead: offer a 15-minute call, use the secure portal |
| 3 | Forgetting **Save** | Click **Save** after you paste the rules |
| 4 | Starting the chat outside the project | Start from the project page, in **New chat in** your project |
| 5 | One long chat for every client | One [new chat](https://learn.ynteractive.com/content/glossary/new-chat) per job |
| 6 | Trusting dates and amounts | Check every date and amount against your notes |
| 7 | Sending the draft as it is | Read it, fix it, and send it from your own email |

## Which mistakes happen while you set it up?

**1. Typing the rules in each chat.** Rules typed into one chat stay in that chat. [Project instructions](https://learn.ynteractive.com/content/glossary/project-instructions) are read before every chat in the project. In the lesson, you create a project for the firm (sidebar, **Projects**, **+**), click **···**, then **Project settings**, and paste the rules into **Instructions**. You do it once.

**2. Rules that only say "never".** "Never give tax advice by email" tells ChatGPT what to avoid but not what to write. The lesson's rules always add the next step: offer a 15-minute call instead, and point clients to the secure portal instead of asking for passwords or full account numbers. That is why the test reply had something useful to say in both places. The lesson's tip: write down the two or three things that must never happen, and what to do instead.

The rest of the rules matter too. They say who the firm is, what it does, the tone (plain, friendly English in short sentences) and how to sign emails. You can download the exact rules from the lesson and change them to fit your firm.

**3. Forgetting Save.** After you paste the rules, click **Save**. It is a one-click step, and the easiest one to skip when you are in a hurry.

## Why does it matter where you start the chat?

**4. Starting the chat outside the project.** A normal chat does not know the project's rules. On the project page, type into **New chat in** followed by your project's name. In the lesson it reads **New chat in Stepthrough tests - Clearview Bookkeeping**. If you start from the plain **New chat** instead, you are back to a blank assistant. The [ChatGPT Projects vs chats lesson](https://learn.ynteractive.com/content/chatgpt-projects-vs-chats) shows the difference side by side.

**5. One long chat for every client.** The lesson uses one chat per job. After the client email, you go back to the project page and start a new chat for the call notes. Keeping jobs apart means one client's details never end up in another client's reply. **An AI Assistant for Bookkeepers using ChatGPT: Client Emails and Call Notes, with Your Firm's Rules**. Set ChatGPT up as an AI assistant for a bookkeeping firm: your rules in a project once, then a client email that routes the tax question to a call and refuses a bank login, and call notes turned… You do every step yourself in a practice copy of ChatGPT, it checks your work as you go, and “Do it for me” finishes any step you get stuck on. Free, and nothing touches your real accounts.

## What goes wrong after the draft comes back?

**6. Trusting dates and amounts.** In the lesson's call notes test, ChatGPT turned "by Thursday" into **Thu, Oct 22**, asked for the bank statement through the secure portal, and put the office-chairs question under **Needs Dana's Attention** for a 15-minute call. That run went well, but the lesson still says to check the dates and amounts against your notes before you share the table. A wrong due date in an action list is easy to miss and costly to fix.

**7. Sending the draft as it is.** In the email test the reply offered a call for the S-corp question, told the client not to email a bank login, and signed off **Dana, Clearview Bookkeeping**. It still needs a person. Read it, fix anything that is wrong, and send it from your own email. Nothing in the lesson is sent for you. Your answers will also be worded differently from the lesson's, so read your own draft, not the one you expect.

## What about client data?

Paste only what the job needs. Leave out account numbers, SSNs and passwords, and follow your firm's [AI policy](https://learn.ynteractive.com/content/glossary/ai-policy) and your plan's data settings. The lesson did not change any account, memory or data-control settings. If you need a policy for staff, see [what staff can paste into ChatGPT](https://learn.ynteractive.com/content/blog/team-ai-policy-what-staff-can-paste-into-chatgpt).

## Key takeaways

- Put the rules in the project once, not in every chat.
- Every "never" rule needs a "do this instead".
- Click **Save**, then start each chat from the project page.
- One new chat per job keeps clients apart.
- Check dates and amounts, then send it yourself.

## Frequently asked questions

**Why did my assistant answer a tax question by email?**

Usually the chat was started outside the project, or the rule was never saved. Check **Instructions** in **Project settings**, then start a new chat from the project page.

**Should I write a long list of rules?**

The lesson keeps it short: who you are, what you do, your tone, two firm rules and a sign-off. Short rules are easier for you to check and update.

**Can I reuse one chat for the same client all month?**

The lesson uses one new chat per job. A fresh chat in the project still has the rules, so you lose nothing by starting over.

**What if the draft gets a date wrong?**

Fix it before you share it. The lesson asks you to check every date and amount against your own notes for exactly this reason.
