Plumbing · Lovable · n8n

A plumbing company can use AI to [triage](https://learn.ynteractive.com/content/glossary/ai-triage) website service requests: an AI dispatcher in n8n reads each form submission, marks it Emergency, Same-day or Scheduled, logs the job in Google Sheets and emails the customer next steps, including how to shut off the main water valve in an emergency. This guide is for plumbing owners and office managers, and it follows the free [AI Emergency Request Form](https://learn.ynteractive.com/content/plumbing-emergency-request-form-ai-lovable-n8n) lesson (87 steps, about 15 minutes, no coding), built for Blue Maple Plumbing, a made-up residential plumber.

A pipe bursts under the kitchen sink at 8 p.m., and the homeowner can't find the shutoff. The next request in the inbox is a dripping faucet. Both came through the same form, and without triage both wait until somebody reads them.

## What does the AI emergency request form include?

The build has two connected pieces: a request form made in Lovable and an AI dispatcher workflow made in n8n.

1. **The form, in Lovable.** Lovable builds [web apps](https://learn.ynteractive.com/content/glossary/web-app) from a written description. You paste a [prompt](https://learn.ynteractive.com/content/glossary/prompt) and click **Build**, and you get a "Need a Plumber?" page with four required fields: Name, Email, What's the problem? and Service address.
2. **The dispatcher, in n8n.** An **On webhook call** trigger receives each submission. An **AI Agent** with the **OpenAI Chat Model** (gpt-5-mini) sets the priority. A **Google Sheets Tool** logs the job, a **Gmail Tool** emails the customer, and a **Respond to Webhook** node tells the form it worked.

## How does the AI decide which plumbing requests are emergencies?

The AI dispatcher follows three written priority levels in its system message, so it applies your rules instead of guessing. The lesson's rules:

```text
Set a priority for each request:
Emergency - active leak, burst pipe, sewage backup, or no water.
Same-day - no hot water, a clogged main drain, or a sump pump that won't run.
Scheduled - everything else.
```

Under these rules a burst pipe under the sink is Emergency, a house with no hot water is Same-day, and a dripping faucet falls under "everything else," so it is Scheduled.

The rest of the Blue Maple system message tells the agent to add the request to the Google Sheet and email the customer a confirmation with the priority and next steps. One more line matters most: "For emergencies, tell them how to shut off their main water valve." Most burst-pipe damage happens before anyone answers, so shutoff steps sent right away can save a floor while the truck is on the way.

## How does the AI agent read the form fields?

The AI Agent's prompt source is set to **Define below**, with a template that pulls the four form fields from the webhook using n8n expressions:

```text
Name: {{ $json.body.name }}
Email: {{ $json.body.email }}
Problem: {{ $json.body.problem }}
Address: {{ $json.body.address }}
```

Each time the form is submitted, the agent gets a prompt with the real details. [n8n Expressions for Beginners](https://learn.ynteractive.com/content/blog/n8n-expressions-for-beginners) explains the double curly braces.

## What happens when a customer submits a burst pipe request?

In the lesson's test, Dana reports a pipe spraying under her kitchen sink at an address in Lititz, and the AI dispatcher marks it Emergency within one workflow run. You click **Request Service**, and:

1. The webhook receives the four fields.
2. The agent marks the request Emergency.
3. The agent adds a row to the **Service Requests** sheet (columns Name, Email, Problem and Address).
4. The agent emails Dana a confirmation with the priority and how to shut off her main water valve.
5. The Respond to Webhook node answers the form, and Dana sees "Request received! Check your email for next steps."

The priority goes in the email, and the Service Requests sheet keeps exactly what the customer typed. Add a Priority column if you want it in the sheet too.

## Try it free, step by step

**Build an AI Emergency Request Form for Your Plumbing Company**. Build an emergency service-request form in Lovable and connect it to an n8n workflow — webhook trigger, AI Agent that prioritizes the job, Google Sheets, Gmail, and a Respond node that ties it all… You do every step yourself in a practice copy of Lovable and n8n, it checks your work as you go, and “Do it for me” finishes any step you get stuck on. Free, and nothing touches your real accounts.

## What should you check before putting the form on your website?

Check that both halves are published, that the form uses the n8n Production URL, and that the confirmation email says what you want, because the Gmail Tool sends it straight to the customer.

- **Publish both.** The n8n workflow only runs on its own after you click **Publish**, and a Lovable app is only a preview until you publish it.
- **Use the Production URL.** The form must point at the webhook's Production URL, stored in Lovable as the `N8N_WEBHOOK_URL` secret, not the test URL ([why that matters](https://learn.ynteractive.com/content/blog/n8n-webhook-test-vs-production-url)).
- **Keep the fallback.** If the webhook fails, the form says "Something went wrong. Please call us instead," which matters when water is on the floor.
- **Make the form wait.** The webhook responds through the Respond to Webhook node, so the success message only shows after the request is saved and the email is sent.

[Connect a Lovable Form to n8n with a Webhook](https://learn.ynteractive.com/content/blog/lovable-form-n8n-webhook) walks through the form-to-webhook wiring on its own.

## Can AI also handle follow-ups after a plumbing job?

Yes. The [AI Customer Follow-Up Agent](https://learn.ynteractive.com/content/plumber-customer-follow-up-ai-agent-n8n) lesson builds an n8n agent that writes a short, personal text after each service call and saves it to a Customer Follow-Ups sheet for review. You paste the day's calls (in the lesson: Linda's water heater replacement, Tom's main drain cleaning and Maria's sump pump), and the agent writes each message with one care tip for that job and a next step for the office. [Automate Customer Follow-Ups After Every Service Call](https://learn.ynteractive.com/content/blog/customer-follow-up-after-service-call) covers that agent in detail.

## How should a plumbing company adapt this?

Rewrite the priority rules to match your own dispatch, then let the form collect every request in one sheet.

- **Edit the rules.** If a leaking water heater is a same-day call for you, write that into the system message.
- **Add your after-hours policy** to the email so customers know when to expect a call back.
- **Plan for busy stretches:** burst pipes in a cold snap, flooded basements when sump pumps fail in spring storms, backed-up kitchen drains after holiday meals.
- **Keep a person in charge.** The agent sorts and confirms; your dispatcher still decides who goes where.
- **Collect only what the job needs.** The form asks for a name, an email, the problem and an address. Follow your company's policy on customer data.

The cost: the lessons are free and run in a practice copy. A real build needs Lovable (free and paid plans), n8n (n8n Cloud is paid after a free trial, or self-host it), a Google account, and an OpenAI API key, which is pay-as-you-go and billed separately from ChatGPT plans. More lessons are on the [plumbing hub](https://learn.ynteractive.com/content/industry/plumbing).

## Key takeaways

- An AI dispatcher built in n8n can mark each plumbing request Emergency, Same-day or Scheduled using rules written in its system message.
- In the Blue Maple Plumbing lesson, emergency confirmation emails include how to shut off the main water valve.
- The Lovable form sends Name, Email, Problem and Address to an n8n webhook, and the AI agent logs each request in a Service Requests Google Sheet.
- The n8n workflow must be published and the form must use the webhook's Production URL before real customers can use it.
- A second n8n agent can write post-job follow-up texts and save them to a sheet for review before anything is sent.

## Frequently asked questions

**How does AI decide what's a plumbing emergency?**

The AI follows the rules in its system message. In the Blue Maple lesson, an active leak, burst pipe, sewage backup or no water is Emergency; no hot water, a clogged main drain or a sump pump that won't run is Same-day; everything else is Scheduled.

**Does the customer get instructions right away?**

Yes. The AI agent emails a confirmation with the priority and next steps as soon as the form is submitted, and for emergencies the email explains how to shut off the main water valve.

**Do I need to code to build an AI plumbing request form?**

No. Lovable builds the form from a written prompt, and the n8n workflow is built by clicking and pasting. The Stepthrough lesson is 87 steps and about 15 minutes.

**Where does the priority show up?**

The priority shows up in the confirmation email. The Service Requests sheet keeps the name, email, problem and address exactly as the customer typed them.

**Is Blue Maple Plumbing a real company?**

No. Blue Maple Plumbing is a made-up example used in the lessons.
