A small office usually finds its AI tools from a forwarded list or an ad, then starts a few trials. Each one costs setup time and a cancellation, and the job still is not done. AI directories are a faster way to see what exists, as long as you bring the job with you. In this free lesson you take one job through four directories, check the finalists on their own pricing pages, and finish with one tool worth testing. No account needed. [Stepthrough](https://learn.ynteractive.com/content/tool/stepthrough) runs one of the directories, and we say so where it comes up.

### The 5 parts, in short

1. Write the job: Write the job in one sentence.
2. Start with a sorted list: Open the category for the job, See every tool in the category, Read the counts, Add the first candidate, and 1 more step.
3. Widen the search: Skip the newsletter, Search for the job, Notice the featured listing, Compare the count, and 6 more steps.
4. Find what the others miss: Know what you are looking at, Search for the job, Open a tool you have not seen, Test it against your sentence, and 1 more step.

## The business problem: picking AI tools from a forwarded list

Most people start with a tool and look for a use. Every trial takes setup, a learning curve and a cancellation, and the half hour of notes after each call is still there. The fix is to start with the job.

## What you will do: one job through four directories

You run the office at Harbor & Pine Property Management, a made-up firm. Your one sentence is: turn a 45-minute recorded owner call into notes and to-dos, on Windows laptops, for $0 to start. You search our directory, FutureTools, AI Tools Directory and AI Directories, and you fill in a shortlist.

On October 31, 2026 the listings disagreed. Jamie showed as Free plan with us and Paid on FutureTools, and Jamie's own page showed a free plan with a 30-minute limit. The Mumble AI listing said Mac and iOS. That left [Granola](https://learn.ynteractive.com/content/glossary/granola) to test. Prices and listings change, so check them yourself.

## Featured means placement

Featured cards come first on the directories we used, and the first one we saw on FutureTools for meeting notes was a tool for building [AI agents](https://learn.ynteractive.com/content/n8n-ai-agent-tutorial-google-sheets). That is a normal way for a directory to pay its bills. Judge those cards by your sentence, like any other. Many directories also sell paid placement.

## Who this is for

Office managers, team leads and owners of small firms who need to choose an AI tool without a software budget or an IT team. You don't need any AI experience.

## More AI directories to try

The same search gave 37 tools in our category, 70 on FutureTools, 31 on AI Tools Directory and 2 on AI Directories, so it pays to look in more than one. The links below include every directory we opened for this lesson. Each one loaded and looked like a real directory on October 31, 2026, but we did not check every listing. So bring your one sentence, and check the tool's own site.

## Step by step: AI Tool Directories: Find the Right Tool for a Job

All 24 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. Write the job

1. **Write the job in one sentence.** You run the office at **Harbor & Pine Property Management**, a made-up firm with nine people. Each owner call costs you half an hour of notes. Before you look at any tool, write the job down, with the limits that matter: **a 45-minute call**, **Windows laptops**, **$0 to start**. The scorecard is in this lesson's links. Click the job.
Each owner call costs you half an hour of notes. Before you look at any tool, write the job down in one sentence, with the limits that matter.

### 2. Start with a sorted list

2. **Open the category for the job.** Start with the [Stepthrough AI tools directory](https://learn.ynteractive.com/content/ai-tools). It is ours, and it is sorted by the job you need done, so you can skip the search. Click **Meetings**.
Start with our own directory, which is sorted by job.
3. **See every tool in the category.** The page jumps to **Meetings & notes**. Click **All 37 AI notetakers**.
4. **Read the counts.** **37 tools**, and **31** have a free plan or are free. That is too many to try, so you need a way to cut the list. Click the count.
Thirty seven tools, and thirty one are free or have a free plan. That is too many to try.
5. **Add the first candidate.** **Jamie** says **Free plan** and bot-free, so no bot joins your calls. Owners may prefer that. Add it to your shortlist. Click the card.
Jamie says free plan, and no bot joins your calls. Add it to your shortlist.
6. **Add the second candidate.** **Granola** also says **Free plan**, and it records from your computer with no bot. It has a free Stepthrough lesson too, for later. Click the card.
Granola also has a free plan, and no bot. Add it too.

### 3. Widen the search

7. **Skip the newsletter.** One directory shows you one view, so check another. [FutureTools](https://futuretools.io/tools) searches over 4,000 tools, and no account is needed. A newsletter box may pop up, so click **No thanks, I'm good**.
One directory is one view, so check another. FutureTools needs no account. If a newsletter box pops up, click No thanks.
8. **Search for the job.** Search for the job, not a product name.
9. **Notice the featured listing.** The first card is marked **Featured**. It builds AI agents, so it has nothing to do with notes. Featured tells you where a listing is placed, not whether it fits your job. Directories have to pay their bills, so read past it. Click the card.
The first card is marked featured, and it has nothing to do with notes. Featured tells you where a listing sits, not whether it fits.
10. **Compare the count.** The same job gives **70 tools** here, because this search matches words and not a category. Some results will not be meeting tools. Click the count.
Seventy tools here, because this search matches words, not a category.
11. **Catch the disagreement.** Scroll down to **Jamie**. It is marked **Paid**. Our directory says **Free plan**. Both cannot be the whole story, and a single label will not settle it. Write down the disagreement so you can check it later. Click the card.
Here is Jamie, marked paid. Our directory says free plan. Write that down, and check it later.
12. **Try the price filter.** Scroll back up and click **Freemium**, which means free to start with paid upgrades.
13. **See who stays and who goes.** Now it is **32 tools**. **Granola** stays, and it even has a **Matt's Pick** tag, which is the site owner's own recommendation. **Jamie** is gone, because the filter believes the Paid label. A filter can only be as good as the label behind it. Click Granola.
Thirty two tools. Granola stays. Jamie is gone, because the filter believes the label. A filter is only as good as the label behind it.
14. **Run the same search again.** Now try [AI Tools Directory](https://aitoolsdirectory.com). It has a search box and category and price filters, and no sign-in. Use the same words.
Now try AI Tools Directory, with the same words.
15. **Compare again.** **31 tools** this time. Every directory gives you a different list, so no single one is the market. Click the count.
Thirty one tools this time. Every directory gives you a different list.
16. **Look for repeats.** **Granola** is here too, marked **Freemium**. That makes three directories out of three. Showing up everywhere does not prove a tool is good, but it is a fair reason to look closer. Click the card.
Granola is here too. That is three directories out of three. It does not prove it is good, but it is worth a closer look.

### 4. Find what the others miss

17. **Know what you are looking at.** [AI Directories](https://www.aidirectori.es/ai-tools) lists tools that founders launched through its service, so it is a good place to find newer tools. The **Featured** cards come first. As before, read past them. Click the first one.
AI Directories is a good place to find newer tools from founders. The featured cards come first. Read past them.
18. **Search for the job.** Search above the cards. The list narrows as you type.
    Search above the cards.
19. **Open a tool you have not seen.** Two tools come back, so this is a short, different list. You did not add **Mumble AI** from the other searches. Click it.
Two tools come back. You have not added Mumble AI yet, so open it.
20. **Test it against your sentence.** It sounds right: meetings, notes, works offline, **Freemium**. But the name says **Mac & iOS**, and your office runs Windows. Your one sentence just saved you a trial. It is a fine tool for someone else. Click the name.
It sounds right, but the name says Mac and iOS, and your office runs Windows. Your one sentence just saved you a trial.
21. **Keep this for a harder search.** Meeting tools are easy to find. For a narrow job, like one for your industry, [this database](https://www.aidirectori.es/directories) lists over 300 more directories, with their traffic and pricing. It is built for founders who want to get listed, but you can use it to find a directory in your field. Click the heading.
For a narrow job, this database lists over three hundred more directories. It is built for founders, but you can use it to find one in your field.

### 5. Check the tool's own site

22. **Settle the Jamie question.** Now go to the source. On Jamie's own pricing page, there is a **Free** plan, so **Paid** was not the whole story. But look at the limit: **30-minute meeting duration**, and 10 AI notes a month. Your calls run 45 minutes. The free plan was real, and it still does not fit your job. Click the limit.
Go to the source. Jamie does have a free plan. But it stops at thirty minutes, and your calls run forty five. Free was true, and it still does not fit.
23. **Find the catch on the finalist.** Free plans have limits, so find them now. Granola's **Basic** plan is **$0**, it has a **Download for Windows** button, and it says you can opt out of model training. The catch is **limited meeting history**, so keep your notes somewhere else. We did not test how limited it is. Click the line.
Free plans have limits. Granola is free, and it works on Windows. The catch is limited meeting history, so keep your notes somewhere else.
24. **Choose one to test.** Here is your scorecard. It took one sentence and four directories, and you have **one tool to test**, not three trials to cancel. Try it on a low-risk call first, and tell everyone on the call that it is being recorded. Click **Granola**.
One sentence, and you have one tool to test, not three trials to cancel. Try it on a low risk call, and tell everyone it is being recorded.

## Frequently asked questions

**Which AI tool directory is best?**

We don't think one is enough. The same search returned different lists on each directory we tried. Use two or three to build a list, then use each tool's own site to decide.

**Can I trust the prices in an AI directory?**

Use them as a starting point. In our test, one tool was marked Paid on one directory and Free plan on another, and its own page showed a free plan with a 30-minute limit. Check the tool's pricing page.

**Do I need an account to use these directories?**

Not for the four used in this lesson's steps. ToolFame's search asked us to log in, and other sites may change.
